Client knowledge base

Each client's files and facts, organized on shelves, which Prophet looks up when it works for them.

What to store

Everything you'd want someone new on the team to read on day one:

  • Briefings — what the client asked for, deadlines and scope
  • Brand — tone of voice, guidelines, what never to say
  • Contracts and proposals — what was agreed
  • Deliverables — what has been done, so it isn't repeated
  • References, competitors and frequent questions

The shelves

On the client's page, the Knowledge tab organizes files on shelves. Every client starts with six, named in Portuguese: Briefings, Marca (brand), Reuniões (meetings), Contratos e propostas (contracts and proposals), Entregas (deliverables) and Outros (other). You can create more with New shelf, rename them and merge two. The Reuniões shelf belongs to the system: the client's archived meetings go there.

How to add

The tab's Add button has four options:

  1. Upload file — PDF, DOCX, TXT, MD, CSV and images (PNG, JPG). You can also drop the file anywhere on the tab
  2. Paste text — a title and the text
  3. Add fact — a short, structured piece of information, like «preferred meeting time: mornings»
  4. Add link — an address starting with http:// or https://

Each file's summary

After the upload, Prophet reads the file and writes a summary — it takes seconds and the row changes from writing summary to ready without reloading. If the row shows error, use Try again or remove the file. Clicking the file opens its details: summary, origin, shelf and how many times it was used in the last 7 days.

Suggested facts

Where they come from

From conversations and meetings: Prophet proposes new facts about the client, like a preference or a budget.

What you do

On the Briefing tab, a notice shows how many facts are waiting for you. Confirm, Edit or Dismiss. An unconfirmed fact stays out of Prophet's context.

Search by meaning

You ask your way and Prophet finds the right passage, even with different words:

«Which tone did the client approve?»

Brings up the stored brand guide

«Did they say anything about price?»

Brings up the proposal passage, even if the word «price» isn't in it

Client × workspace

A client's base applies only to that client. What applies to everyone — your process, your templates, what you sell — goes in Workspace knowledge.
